 DEPOSIT & PAYMENT SCHEDULE

FOR CATERED OUTINGS DURING “PRIME SEASON”
Weekends in May (including Memorial Day), May 31st – Sept 5th  (including Fridays & Labor Day), Weekends in Sept & October
(“Exclusive” Outings have different criteria – Your SNT Group Sales Representative will supply this information)
 
“Booking Deposits” for Catered Outings
 
Booking Deposits are designed to “hold” the date of your outing. The earlier in the calendar year an organization secures a date for their “Prime Season Outing”, the less the amount of a deposit that will be initially required. It is not our intent to require an organization to supply an unreasonable amount of money when their outing may be 8-9 months away.
 
It is not uncommon for us to “book” large outings every Saturday and Sunday of the summer. It has always been our practice not to “overbook” group outings to “protect” ourselves in the event of cancellations. Our “Deposit Policies” are designed to be as fair as possible to our groups, our caterer as well as ourselves.
 
Booking Deposits are NON- Refundable, although we will make every effort to re-apply it to another date within a 12 month period if your organization is forced to cancel your outing with at least 8 weeks notice.
 
Your Booking Deposit secures the date of your outing for a prescribed period of time, based upon when your group initially books your outing. We will hold your date in “Good Faith” for 5 business days without receiving any deposit. Please be aware, your outing cannot be officially booked until we receive your deposit. To assure the date your group wishes, it is in your best interest to pay your deposit as soon as possible.
 
The amount due for a group’s Booking Deposit is based upon the anticipated attendance. It is critical that the group be as accurate as possible with this estimate. As stated above, we make every attempt to not “overbook”. We understand that a group may feel it is cost efficient to keep their estimate as low as possible in order to minimize the amount of the Booking Deposit, but please keep in mind that this action may reduce the number in their group that we can accommodate as we continue to book groups on the same date of their outing. We have several venues within the Park that we host group outings; each of these areas is designed to accommodate different sized groups. As groups book, we typically “pencil” them into the appropriate area.

Book your 2011catered group* & pay your deposit by December 17, 2010 and your group will receive our Standard Beverage Service FREE (Regularly $3.00/person)

Book your 2011 catered group* and pay your deposit by November 5, 2010 and your group will also receive UNLIMITED BATTING at our Batting Range from PARK OPENING until 5:00pm of your outing
(Regularly $2.00/person)
 
*In order to qualify for our Standard Free Beverage Service, your group MUST have a minimum of 200 guests and an All You Can Eat Buffet of $9.99 for each person in your group. If you wish to lengthen your beverage service or enhance it with additional options, you will be credited $3.00/person and just be billed for the difference.

“Intermediate Deposits” for Catered Outings
 
Intermediate Deposits are due 30 days (one month) prior to the scheduled date of your group’s outing. We require that approximately 50% of your total outing cost be paid at this time. For groups who have paid a Booking Deposit, that deposit will be credited towards the 50% Intermediate Deposit (i.e. assume total estimated cost of outing is $8,000. A booking Deposit of $500 had been paid. $8,000 X 50% = $4,000 - $500 Booking Deposit previously paid = $3,500 due)
 
NOTE: For group’s who book their date within 60 days of their scheduled outing, the Intermediate Deposit (50% of total projected cost of your outing) will also serve as the Booking Deposit and is due within 5 business days of booking or 30 days prior to the scheduled outing, whichever is first. 
 
 
Final Outing Estimate for Catered Outings
 
A group’s Final Outing Count is due 7 business days prior to Group’s scheduled event date and determines the minimum cost you will be billed. If the total number of guests exceeds the projected total, the group will be billed for those additional guests on a per person basis. Your Swings-N-Things Group Sales Representative will make arrangements for payment for these additional guests.
 
The TOTAL OUTSTANDING BALANCE will be due upon delivery of Passes Certificates, etc.    Your Swings-N-Things Group Sales Representative will make arrangements with each group having a catered outing to deliver, send or arrange for a representative from your group to pickup the following prior to your outing:
·         ALL DAY UNLIMITED PASSES (to be redeemed at park for appropriate wristband)
·         Optional GAMEROOM/BATTING RANGE TOKEN CERTIFICATES
·         Optional HOMEMADE ICE CREAM CERTIFICATES
·         Optional COTTON CANDY CERTIFICATE
If you prefer not to distribute the above items prior to the day of your event, we can arrange for them to be distributed to your guests at the park on the day of the event. If you choose this option, your TOTAL OUTSTANDING BALANCE will be due 3 business days prior to your outing.
At the conclusion of your outing, or on an agreed upon day after your outing, your Group Leader will be given all items included in your package (this does not include any certificate for your catered meal or beverage) that were not distributed on the day of your event. You may distribute these to the guests who were unable to attend or use them as rewards to employees or customers. They may not be used as part of another group outing or event or credited to a 2012 event. 
We understand that last minute issues sometimes arise that may prohibit several of your guests that were part of your final count from attending your outing. To assure that these group members may still enjoy a day at Swings-N-Things as a reward of being a member of your group,  we will honor their UNLIMITED ALL DAY PASS TICKETS on any remaining day of our published “ALL DAY 2011 PASS SEASON” (see www.sntfun.com for dates). Token Certificates, Ice Cream Certificates and Cotton Candy Certificates may also be redeemed on any day Swings- N-Things is open during regular business hours through Dec. 31, 2011 (see www.sntfun.com for operating calendar)

Deposits for Exclusive and Semi-Exclusive Outings

Exclusive and Semi-Exclusive outings require immense pre-planning and public annoucements alerting guests that we will be closed all or part of that day.  Other group outings and birthday parties, often scheduled months in advance, cannot be scheduled.

All "Exclusive Events" require a minimum $5000 booking deposit and a final deposit (including booking deposit) of 50% of the total estimated cost of the outing, or a minimum of $15,000 whichever is greater.  The final deposit is due no later than 4 weeks prior to the date of the outing.

Semi-Exclusive events also require a $5000 booking deposit (for the primary organization) and 50% of the total estimated cost of the outing, or a minimum of $12,000, whichever is greater.  The final deposit is due no later than 4 weeks prior to the date of the outing.

 

**Every guest attending your outing MUST purchase a Swings-N-Things Attraction Pass, Catered Meal and Beverage Service.  No exceptions.
